LOC GC – Request to Perform at District Property

Purpose
The purpose of this policy is to establish guidelines and procedures for external groups wishing to use the facilities of Garfield County School District (herein referred to as “the District”).  This is separate from policy GC – Community Use of School Facilities which outlines renting school facilities.  This policy and form is primarily for groups performing at school-related events, such as halftime performances.

It is the desire of the Garfield County Board of Education and the Superintendent for community groups to have access to District facilities for performances and other events that benefit and contribute to the communities we serve.

Any external group wishing to use the District’s facilities must fill out a Facility Use Request Form. This form must be submitted to the principal of the school where the facility is located. The form must include the following information:

  • Name of the organization,
  • Contact person and telephone number,
  • Date and time of the requested use, and
  • Description of the proposed activity

Approval
The Board and Superintendent’s desire is for community groups to have access to District facilities; however, all Facility Use Request Forms must be approved by the Principal of the school where the facility is located.  A performance may be declined at the discretion of the School’s principal.  Some considerations might include:

  • The nature of the program poses excessive risk of injury or potential for property damage,
  • The content and nature of the program are not appropriate for the audience that will be in attendance according to the principal and/or superintendent,
  • The program will interfere with the school-sponsored activity in some way,

Supervision
All activities conducted by external groups using the District’s facilities must be supervised by an adult representative of the group. The group must also be responsible for setting up and cleaning the facility before and after use.

Liability
The District will not be held liable for any accidents, injuries, or damage that may occur as a result of the use of its facilities by external groups. The external group will be fully responsible for all liability arising from the use of the facilities and is strongly encouraged to obtain liability insurance coverage of its own.
